Merge historical records together

This article explains how to merge records together.

The Merge Suite Plugin allows users to merge People, Clients, Sources, List Values, Attributes, Attribute Masters and Nationality. The process is to first install the plugin, then there are two slightly different methods when merging certain data. This article therefore contains three sections:

  • Installing the Merge Suite Plugin.

  • Merge Clients, applicants or contacts.

  • Merge Source, List Values, Attributes, Attribute Masters or Nationality.


Installing the Merge Suite Plugin

This plugin can be installed from the RDB Store and assigned to users. Once the plugin is assigned, RDB will need to be restarted.
After installing the plugin:

  1. On the Ribbon, click Plugins and then click Merge Suite.

  2. Read the User Agreement and then select the I accept the terms of use checkbox.

  3. Click Continue.

  4. Select the type of operation to merge.


Merge Clients, applicants or contacts

Find Duplicates to merge:

The user can search for clients, applicants or contacts with duplicate names, email addresses or postcodes in the sectors selected. The user can also search using the clients, applicants or contacts name in the Optional: Only match if name contains keywords.

  1. Click Next.

  2. The left list shows the clients, applicants and contacts that are incorrect and need to be merge into a client on the right list. Select the client/s, applicant/s or contact/s on the left that need to be merged and a client, applicant or contact from the right list to be merged into.

Manual Entry:

The user can manually merge records by adding the object Id of the client, applicant or contact in the top field and the object id of the client, applicant or contact that the incorrect record will be merged into in the second field.

  1. Click Next and then click Merge.

  2. Click Start Again if another client, applicant or contact needs to be merged.

πŸ“Œ Note: To check which clients, applicants or contacts to merge, use their object id number (each client is assigned a unique object id number). On the Main Index, find the client. The data added to the chosen client record is:

  • Phones.

  • Address.

  • Attributes.

  • Contacts.

  • Consultants – if there is a primary consultant on the client record already, the merged consultant is added as a secondary consultant.

  • Employee History.

  • Preferred/Excluded.

  • Jobs and Placements.

  • Applicant Actions.

  • Notebook Items.

The data added to the chosen applicant or contact record is:

  • Phones.

  • Address.

  • Attributes.

  • CV.

  • Consultants – if there is a primary consultant on the client record already, then

    • the merged consultant is added as a secondary consultant.

  • Work History.

  • Preferred/Excluded.

  • Applicant Actions.

  • Placements.

  • Notebook Items.

  • Stored Documents.


Merge Source, List Values, Attributes, Attribute Masters or Nationality

The merge section includes the data that is incorrect and the Into section includes the data it will be merged into.

  1. Select the Source, List Values, Attributes, Attribute Masters or Nationality from the left section that is incorrect and a Source, List Value, Attribute, Attribute Master or Nationality from the right section that it will be merged into.

  2. Click Next and then click Merge.

  3. Click Start Again if more data needs to be merged.

πŸ“Œ Note: A source cannot be merged into a source that has a system code e.g. CV Reader or From Newspaper. If attempted, an Unable to merge message will appear.
