Add locations onto records and use postcode software

This article explains how to add Locations into records and how to use the Postcode Software.

If the postcode software is installed on the pc, whenever an address is added and has to overwrite the location ticked in the address section (or click the Set Location button on an applicant's address tab), the postcode is added to the Location field on the record. The Location field is used by the database to carry out radius searching.

The postcodes in the Location field need to be activated for radius searching. Whoever has the postcode software installed, manually update the locations table for those addresses with postcodes that have been added by other users, as postcodes added by other users will not automatically be given a grid reference.

  1. Go to Options.

  2. Click Lookups.

  3. From the options, select Locations.

  4. Click Update Locations without Grid Refs. This updates all the postcodes that do not have a grid reference (i.e. latitude and longitude).

The Location field on the records will not display the grid reference, it will show: District/City/County/Country along with the postcode - depending on which selection was made in the Location section in User Preferences.
To carry out a radius search, select the Centre Location search criteria in the relevant search screen.


Add Locations to Records

With clients, open the client record and move to the Addresses tab.

  1. In the New Address screen, click Add.

  2. Choose an Address Type.

  3. Add the postcode to the Search Postcode field and press Return key, then add the street number or type the full address into the fields.

  4. Tick Overwrite Location.

  5. Save and Close the screen.

  6. With applicants, adding an applicant via CV Reader will add an address and update the Location field on the record automatically. When adding an applicant manually, open the applicant record and move to the Addresses tab.

  7. In the New Address screen, click Add.

  8. Choose an Address Type.

  9. Add the postcode to the Search Postcode field and press Return key, then add the street number or type the full address into the fields.

  10. Save and Close the screen.

  11. On the right of the Addresses tab, click Set Location.


Edit Locations on Records

A client may have more than one address. Only one can be used at a time in radius searching, i.e. whatever postcode is currently displayed in the Location field.
To change the Location:

  1. On the Addresses tab, select the location address to use for the radius search and click Edit.

  2. Tick Overwrite Location and Save and Close the screen.

  3. The Location field on the record is updated and shows the postcode that will be used in the radius search.

  4. An applicant may have more than one address. Only one can be used at a time in radius searching, i.e. whatever postcode is currently displayed in the Location field.To change the Location:

If the Postcode Software is not Installed:

If the postcode software is not installed, it is still possible to do a radius search. There are two options:

  • Use the Location Importer plugin that enables the user to import locations into RDB ProNet. Then add a location to each client and applicant record.

  • Find and input the latitude and longitude grid references for each postcode straight into the Locations table screen (Options, Lookups, Locations) and then add them to each client and applicant record Location field.
