There are a few things you can do to cut down the size of your database.
Install and run the Mailshot Send Clean-up Utility from the RDB Store. Once you have deleted the files your IT team should be able to shrink the database for you. Once installed the MailShot Send Clean-Up Utility is accessed by:
Click Reports and then click Custom Reports.
Double-click Mailshot Send Clean-up Utility and follow the on-screen prompts.
Delete any old records that have not been used - once a record has been used it will have links to other records that will prevent it from being deleted.
